Incident & Emergency Procedures
If something goes wrong, follow the steps below as written.
When Things Go Wrong — Here's What to Do 🚨
Relevant for: Coaches, Volunteers
Emergencies are rare, but preparation is everything. Every R5 Play staff member and volunteer must know these procedures before their first shift.
Step 1: Ensure Immediate Safety
- Medical emergency — call 911 first
- Clear bystanders and create space for the injured person
- Do not move someone who may have a spinal or neck injury
- Retrieve the First Aid kit from the designated location at your venue
Step 2: Contact R5 Play Leadership
- Notify the on-site event lead immediately
- Call the R5 Play emergency line (provided in your onboarding package)
- Do not post about incidents on social media
Step 3: Document Everything
- Complete an Incident Report Form within 2 hours of the event
- Note: time, location, what happened, witnesses, actions taken
- Submit form to your coordinator and retain a copy
Common Scenarios
- Minor injury — apply first aid, document, notify parent
- Severe injury — 911, notify parent, document, notify director
- Missing child — alert all staff immediately, do not leave venue
- Threatening behavior — remove athletes, call 911, do not intervene physically
Stay calm. Act fast. Document everything. You've got this. 💪
